This guide includes information on how to add participants and offline payments such as cash/BACS transfers) manually via the Admin area.
Step 1: After creating your camp click on the Coaching Module in the Admin area, select 'Holiday camps' in the top right corner and your camps will display.
Step 2: Click anywhere along with the name of your camp as shown above and the following screen will display.
Click on the 'Add participant' button to the right of the screen, and the next page will show the camp sessions available to book for the first player (additional players from the same family/group can be added to this booking after saving the first player's details).
Step 3: Select the sessions that the participant is joining. If this is a multi-week camp, you will be able to view all weeks/sessions and select the dates the participant will be joining.
If it is a camp with early drop-off and late pick-up, you will also be able to view these along with all the full-day and half-day session options.
Step 4: You will then need to enter the contact details for the Parent/Guardian of the player. If they are already within your contacts, select the 'Existing' contact type to prevent duplicates of the same contact. If they are a new contact, please ensure you enter the first and last name and email address.
Step 5: Next, enter the details for the (first) participant. Here you will need to add an emergency contact number for the player. There is also a field to add any special requirements. When completed, click on the blue 'Save' button at the bottom and tick or untick the box to send a confirmation of the booking to the player's Parent/Guardian.
Step 6: On the next screen, you will be able to edit payment (manually add payment) as well as add another player to this camp (with the same session details and parent/guardian contact).
When editing the payment, you can enter the cost and type of payment applicable to the booking. If you want to add another player to the booking you can do this by selecting the 'Add player' button. Here you can enter the other players information, the parent/ guardians contact dtails are already pulled through. If you need to change the status of the booking, you can do so at the top of the page.
Please note: If a sibling is attending different sessions on the camp, you will need to complete these steps again rather than link them to the same booking.
You can view the list of participants of the camp by clicking on the code name of the camp. This will give you a list of all the dates of your camp. Clicking on each date will show you the register for that day along with any additives such as early drop-off and late pick-up for each participant see image below. You can also view registers per week via the drop-down in the top left if this is a multi-week camp.
