Once your club has indicated that they are interested in hosting a Pick Up A Stick Open Day, an email will be sent to your nominated Clubspark administrator.
As an administrator, you can invite other administrators to assist you in the management of the Open Day. See: How to Add, Edit and Remove Administrators
To create a Pick Up A Stick Open Day Event within Clubspark follow the below:
Step 1: Head to the events module and click on Pick Up A Stick
Step 2: Click on Create a New Event or Add new event - both go to the same place.
Step 3: The next step is where you add the details of the day and what will appear on the web page..
The status: This is where you choose the availability to book to the public. You can change these at any time, so you may want to select hidden whilst you are building the event and then change to public when you are ready for people to book on.
The status is explained here:
Hidden
The event is not available to anyone. Use this setting while you are making changes to avoid confusion.
Public
The event will be available to all and will appear in search results.
Direct link only
The event will not appear in search results, but will be available via direct links.
Archived
The event is no longer available for your venue and will be moved into your archived events.
Your Reference: This is for internal use only, you may want to put the date for example.
Description: This is where you put your individual details of the event, this will be shown publicly. There is a character limit of 1000. You can add a hyperlink if you want.
On the webpage - the description will be shown under the section: 'Notes from the coach' , the 'about this event will be pre-populated with description below.
Date and Start/End time: These will be shown publicly. If your event is more than one date, you can add additional dates. You can only add two dates. If you want more dates, you will need to create separate events. They will appear on the website as below. You can set different times for the individual sessions. These times are for the overall day.
Below is how it will look with two dates.
Contact Details : These will be shown publicly on the website, so you may want to choose a generic email?
Venue: Start typing in your venue name and it will appear. If the location or directions are incorrect, please reach out to support and we can get this corrected.
Cancellations: If this is enabled, people will be able to cancel upto the time of the event. There is also an option for the auto refund, you can ignore this, as you won't be taking taking online transactions for the open day, if in the future you will be able to allow automatic refunds when people cancel for paid events.
Step 4: This is where you will add the session/activity details. You will do each activity individually. i.e. if you are putting on more than one activity, enter one first and then you can enter the second one after. This includes if you have different gender events.
Status: - you can set the status as you wish. If you set the details session to HIDDEN, you can mark this as public, as it will only show once you change the details one to public.
Activity Choices: Choose one from the drop down. You can add more later.

Then select the date- if you have more than one date.
The start time, duration, surface, gender, ages and capacity. Note with capacity, once full, it will prevent anyone else booking and will show as Session FULL when at capacity.
Note: All of these features are optional and if you leave blank, they will not be verified.
If you are adding more sessions, then click Save and Add another session or Save Session. Once you have saved all the sessions. You will come back to this screen. If you don't come back to this screen click on the reference number / word you wrote and it will take you back. As below in red.
From this screen you can Edit the Event (Pink) and View the Public Page via Direct Link (Green)
Step 5: Advertising your event:
Once your event is created, from clicking the Direct Link - you will be able to copy the URL or copy the QR code you can use for advertising, whether that be a poster, banner or flyers.
